Meeting Called to Order at: 

Quorum established : 6:04 pm

Attendees: Lynn Porritt, Mark Schaffner, Bert Clements, Riah, Tembra

Approve minutes from last board meeting 3/18/26

Dave makes a motion to approve minutes, Josh seconds- everyone is in favor-minutes passed

Announcements: 3 minutes each

Reports:

  1. Staff report- Elena- In office for 7 days straight last week- some students are coming in to volunteer- Hall upkeep has been going smoothly- SHHO’s rental is going good on a month to month basis- There will be a woman renting the kitchen for food prep (kebbeh’s to be served at Farmers Market)– Shannon inquired about hours she spent and was overtime involved, Elena says no- we will need someone in May to open and close the hall for California Rabbit Association- 
  2. Committee reports;

Building– Lonny will be putting concrete into the open space in sidewalk- Tentative plan to 

Finance- Amie will join – The free show did well, we brought in the projected amount that we had expected, the kitchen did well- We are limping along and can keep the hall open – Amie recommends keeping 6% of funds to direct towards hall operating costs- Shannon is asking for a growth chart covering the last few years to present to the board and public to show areas that need improvement and areas where sales need to be pushed – Amie would like to see reports from Easol for ROTR 2025- Cassandra would like to see charted gross profit vs net profit on a month to month basis based on our historical data, Amie will work on that-

Membership- Currently have 273 members plus 37 more to be added (310) total- Having board members focus at events to sell memberships is paying off

Youth – We failed to meet at Shanon’s last weekend to go over the students questionnaires-  Youth was out in force for the free show last weekend, having more youth centered events would be great- we are having some students show up to volunteer

Events and Talent – Anthony B cancelled- We are having a replacement show on May 30 th who  will draw an even bigger crowd – Working on a November Funk Show- Finalizing for summer arts faire- Billy Wayne Davis will be returning October 24 – We have a hold on Community Park for September 19 & 20 to have a small event, we need to collectively create a theme of what we want

Shannon recommends that we hold a monthly free event for the community on a Friday- $400 dollar start fund

Policy and Bylaw 

  • Amendment to bylaw of the number of board members needs to be added to the bylaws
    • Vote passed 2026 – Going from a 9 seated board to a 7 seated board- Membership voted in December 2025 and accepted so it passed-
  • New policy recommendation
    • Food for paid employees at Mateel hall shows – If a paid employee works over 6 hours they will be fed- all volunteers get fed- Motion was made at the last meeting and it passed.

Personnel. 

      .     The personnel committee has nothing to report at this time.

Dining

  • Recommendation to make Babette chair and Theresa board liaison (formalize)- Dave would like to bring several non-profit entities together to participate at SAMF- babette is reaching out to several people to have pop-ups at future shows here at the Mateel-

Old Business: 5 minutes each

  1. Updated board conduct to include sobriety at meetings clause. New signatures will be needed.
  2. Standards of Conduct

  1. Review Basic Board Responsibilities

Board sponsorship report – We have some sponsorship money coming in but nothing on a larger scale – our goal is $100,000 and we are at 7.5% of our goal- Darren made a very simple PDF of our sponsorship deck, it’s easy to send a link to anyone we think would like to be a sponsor – Dazeys will sponsor but not sure of the amount yet TBD at a later date – 

Darren reached out to Elena and Josh about the sponsorship deck and reformatted it for distribution to potential sponsorships- 

  1. ROTR sponsorship update presented by Alisha – 
  2. SAMF update presented by Elena – Working on finalizing event reports to be filed with the county, working with Laura to get it done- Working on new stage for belly dancing- Tickets for SAMF are now available online at Summerartsandmusicfestival.com website- We need goats to help clear underbrush- Anna created  FB and IG pages for Summer Arts Music Festival – SHHO and Vets are going to have food booths and feed volunteers  Meeting onsite this Saturday April 18th, at 12 noon-—

Public Comments 3 minutes

  1. Riah Homegrown Music Festival – June 26th-28th free community event at Dean Creek- Would like us to donate a 20 x 20 canopy for the weekend- The board will reach out to Alex to see if he is interested in setting up a tent for them and taking it down- Elena asked for him to reach out to her via email and she will work with him
  2. Mark Schaffner thanks the BOD for all their work
  3. Tembra and Lynn Porritt also thank the board for their continued commitment
  4. Babette- Thank you Dave Sundberg for BBQ at free event and Eryn for donating the tuna- 
  5. Tembra- Sponsorship – suggests we hire a team to go out and get it done
